The Project Coordinator is a representative of the Client Services team responsible for assisting with the execution of sign projects in various stages of the project life cycle, and engaging company capabilities to meet the requirements of our customers. Success is measured by the satisfaction of our customer and internal stakeholders. Timely order processing and execution of project tasks and communication with company resources, subcontract installers, and the customer are keys to success. The Project Coordinator is a key link in the supply chain and plays a crucial role in the support of members of the Client Services team in the execution of task- or milestone-specific duties.
ESSENTIAL JOB DUTIES
• Assists with various administrative and/or project duties for projects or programs, executing and completing tasks in the key milestones of projects including, but not limited to:
1. Surveying – Submits request to subcontract installer to perform technical survey of job location, reviews information received to verify complete and accurate information is obtained.
2. Permitting – Submits request to subcontract installer to submit for all applicable permits from municipality, including securing required landlord approval, sealed engineering, and/or other required deliverables for permit application submittal. Maintains diligent follow-up until all permits are approved.
3. Manufacturing – Communicates with the manufacturing team to verify on-time shipment of signage, obtains carrier information for shipment and tracks progress of shipment to ensure timely delivery.
4. Installation – Manages and coordinates installation schedule with installation partners to ensure a project location is properly branded per Customer’s expectations. Manages post-installation punch list items, if applicable.
5. Project Close-Out – Upon completion of a project, processes Sales Orders and Purchase Orders for project-close out by securing all required completion photos, completion documents, and subcontract invoices.
6. Post-Installation Inspections – Manages post-inspection punch list, including dispatching subcontract installer to complete items. Communicates with design, engineering, and manufacturing teams to troubleshoot quality control concerns and identify solutions to minimize reoccurrence.
• Provides extensive and clear communication, both written and verbally, with Customers, installers, and internal team members, throughout the lifecycle of a project.
• Ensures the expected timeline for each project, established with the Customer by the Account or Program Manager, is maintained and project tasks are executed on time and on budget.
• Manages sales orders and purchase orders.
• Reviews subcontractor charges and verification of job completion in order to approve vendor payments.
• Fosters relationships with subcontract installers and outsource partners, ensuring capabilities and ability to meet Customer expectations are aligned.
• Utilizes internal ERP and tracking systems to manage all project data points in real time. Maintains Customer on-line portals/reporting systems, if applicable, in real time, ensuring alignment of data reporting between internal and Customer systems.
• Executes timely processing of invoicing and attainment of weekly invoicing targets to support company cash flow.
• Other duties as required.
TRAINING / QUALIFICATIONS
• High School Diploma or GED required
• Strong computer skills, with the ability to assimilate new computer software programs quickly.
• Experience with Epicor preferred
• Experience in the sign, construction or electrical industry preferred
